Vulcan365 Voice Terms of Service

1. What these terms cover
These terms govern your use of Vulcan365 Voice, the mobile application that connects a phone to a Vulcan365-hosted business phone system. They are in addition to the service agreement between Vulcan365 and the organization that provided your account, and to our general Terms and Conditions. Where these terms conflict with your organization's service agreement on a matter between Vulcan365 and that organization, the service agreement governs.
By setting up and using the app, you agree to these terms.
2. Eligibility
- You must be at least 18 years old.
- The app is offered in the United States only.
- You must have a valid setup code issued by an administrator at an organization with an active Vulcan365 phone service account. You cannot create an account yourself.
- Your access depends entirely on that organization's account. If the account ends, or your administrator revokes your device, the app stops working.
3. Prohibited content and conduct
Messages you send through Vulcan365 Voice go to real people over the public telephone network. You must not use the app to send, request, or facilitate any of the following:
- Harassment, threats, or intimidation, including stalking, bullying, or messages intended to frighten or humiliate.
- Sexual content involving minors, or any child sexual abuse material. This is reported to law enforcement and to the National Center for Missing & Exploited Children, and results in immediate termination.
- Non-consensual sexual content, or sexually explicit content sent to someone who has not asked for it.
- Illegal activity, including trafficking in drugs, weapons, stolen goods, or stolen data.
- Fraud, scams, phishing, or impersonation of another person, business, or public authority.
- Unsolicited bulk or commercial messaging, and any messaging that violates the Telephone Consumer Protection Act, CTIA messaging principles, or carrier rules — including messaging recipients who have opted out.
- Hate speech or content that promotes violence against people based on race, ethnicity, national origin, religion, disability, sex, gender identity, or sexual orientation.
- Malware or malicious links, and attempts to probe, overload, or interfere with the service or the phone system.
- Evading a block, or using another line or device to contact someone who has blocked you.
You are responsible for the messages you send and for complying with the laws that apply to business messaging, including obtaining consent before messaging a consumer where the law requires it.
4. Reporting and blocking
Every conversation in the app has clearly labeled Report message, Report sender, and Block sender actions.
- Reports go to a Vulcan365 moderation queue and are reviewed by a person. You receive a reference number. We do not promise a particular outcome or response time, and we will not always be able to tell you what action we took.
- Blocking is enforced on our servers. A blocked sender's messages are not shown to you and produce no notification, and you cannot reply to them until you unblock. Blocks persist if you reinstall the app. Blocking does not affect telephone calls.
- Filing knowingly false reports, or using the reporting tools to harass someone, is itself a violation of these terms.
Vulcan365 Voice is not an emergency service. Do not use reporting to summon help. If someone is in immediate danger, call 911.
5. Enforcement
Where we find a violation, we may take any of the following steps, with or without notice:
- Remove or withhold access to specific content.
- Suspend or revoke a device's access to the service.
- Suspend or disable a line or extension.
- Notify the administrator at the organization that holds the account.
- Notify the carrier, or law enforcement, where the content or conduct requires it.
- Terminate service to the organization under its service agreement.
We act faster and more severely on content that presents a risk to a person's safety, and on any indication of child sexual exploitation.
Appeals. If you believe we acted in error, write to [email protected] with the reference number, or ask your administrator to contact us. We will review the decision and respond to the account holder.
6. Acceptable use of the app
- Use the app only on a device you control, and keep that device locked and up to date.
- Do not share your setup code or your extension credentials.
- Do not attempt to reverse engineer, tamper with, or extract credentials from the app, or to use the phone system other than through the app and its documented interfaces.
- Remove the device from within the app before you dispose of, sell, or return a phone.
7. Service dependencies and availability
Calls and messages depend on your internet connection, your mobile carrier, our telecommunications provider, and the public telephone network. Delivery is not guaranteed, and messages may be delayed, filtered, or rejected by a carrier. We may change, suspend, or discontinue features as permitted by the service agreement and by law.
Vulcan365 Voice is not a replacement for your phone's dialer and does not reliably support 911 or other emergency calling. Always use your mobile carrier's native dialer for emergencies.
8. Privacy
Our handling of information in the app is described in the Vulcan365 Voice Privacy Policy. Deleting your data is described at deleting your Vulcan365 Voice data. Note that removing your device does not delete records that belong to the organization holding the account.
9. Changes to these terms
We will post changes on this page and update the date above. When a change is material, the app asks you to review and accept the new version before you can continue sending messages.
