Privacy Policy

1. Introduction

Vulcan365 ("we," "our," or "us") respects your privacy and is committed to protecting it through our compliance with this policy. This policy describes the types of information we may collect from you or that you may provide when you visit the website vulcan365.com (our "Website") and our practices for collecting, using, maintaining, protecting, and disclosing that information.

2. Information We Collect

We collect several types of information from and about users of our Website, including information:

  • By which you may be personally identified, such as name, postal address, e-mail address, telephone number ("personal information");
  • About your internet connection, the equipment you use to access our Website, and usage details.

We collect this information:

  • Directly from you when you provide it to us (e.g., filling out forms, requesting support).
  • Automatically as you navigate through the site. Information collected automatically may include usage details, IP addresses, and information collected through cookies.

3. Support Requests and SMS Communications

When you request support and consent to receive SMS updates, we collect information needed to provide updates and resolve your request. This may include your name, email address, phone number, company, support-ticket information, and the details you choose to provide about the issue.

Vulcan365 Customer Support SMS Program

We enroll customers in the program only after receiving a completed and signed Vulcan365 Written SMS Consent Form or after they affirmatively consent to receive SMS when requesting support. We retain the information, including the consenting individual's identity, authorized number, signature, date, consent acquisition method, and the program for which consent was provided, to document and administer consent.

Once enrolled, we collect message content, attachments you send, message timestamps, and delivery information. We use this information to authenticate or identify your request, respond to questions, troubleshoot issues, provide support-ticket or service updates, schedule support, and maintain records of the conversation.

Message frequency varies based on your request and the conversation. Message and data rates may apply. Reply STOP to opt out of further messages or HELP for help. For complete program details, see our SMS Terms.

The Customer Support SMS Program is used for customer-care communications, not marketing. Your consent to receive support text messages is not a condition of purchasing goods or services. SMS is not guaranteed to be secure; do not text passwords, payment card information, Social Security numbers, protected health information, or other highly sensitive data.

4. How We Use Your Information

We use information that we collect about you or that you provide to us, including any personal information:

  • To present our Website and its contents to you.
  • To provide you with information, products, or services that you request from us.
  • To respond to customer support inquiries and maintain support records.
  • To fulfill any other purpose for which you provide it.
  • To carry out our obligations and enforce our rights arising from any contracts entered into between you and us.
  • To notify you about changes to our Website or any products or services we offer or provide though it.

5. How We Share Information

We may share personal information with service providers that help us operate our Website, communications, and support services; with professional advisers; when required by law; to protect rights, safety, and security; or as part of a merger, financing, or sale of all or part of our business.

No mobile information sharing for marketing: We do not sell, rent, or share mobile phone numbers, SMS opt-in data, or SMS consent with third parties or affiliates for their marketing or promotional purposes. We may share this information only with vendors and telecommunications providers that help us deliver and support the SMS program, or when disclosure is required by law.

6. Communication Choices

  • SMS: Reply STOP to any Vulcan365 support text to opt out. After we confirm your request, you will receive no further SMS messages unless you opt in again by completing and signing a new Written SMS Consent Form.
  • Email: Use the unsubscribe link in a marketing email. You may still receive transactional emails about active support requests or services.

7. Data Retention and Security

We retain personal information for as long as reasonably necessary for the purposes described in this policy, to meet contractual obligations, resolve disputes, and comply with law. We use reasonable administrative, technical, and physical safeguards designed to protect personal information, but no transmission or storage system is completely secure.
